Pro Squad Prints operates this store and website, including all related information, content, features, tools, products and services, in order to provide you, the customer, with a curated shopping experience (the "Services"). Pro Squad Prints is powered by Shopify, which enables us to provide the Services to you.

This Privacy Policy describes how we collect, use, and disclose your personal information when you visit, use, or make a purchase or other transaction using the Services or otherwise communicate with us. If there is a conflict between our Terms of Service, standard platform policies, and this Privacy Policy, this Privacy Policy controls with respect to the collection, processing, and disclosure of your personal information.

  • Product Creation Data (Children's Data): Personal Information (such as a child's name and photograph) and Club Information (logos, team colors, rosters) strictly for the purpose of designing and manufacturing custom sports cards. This data is uploaded by authorized adults (coaches, parents, or club administrators).
  • Contact & Billing Details: Your name, billing address, shipping address, phone number, and email address.
  • Financial Information: Payment card information, transaction details, and payment confirmations (processed securely via our payment gateways).
  • Account & Usage Information: Your username, password, transaction history, device information (IP address, browser type), and how you navigate the Services.

2. How We Use Your Personal Information

We use your personal information for the following purposes:

  • Provide, Tailor, and Improve the Services: To fulfill your orders, process payments, manufacture customized products, arrange shipping, and maintain your account.
  • Marketing and Advertising: Marketing communications are strictly opt-in. We only send promotional material to the adult contact who placed the order, provided they have explicitly subscribed. We do not market to children.
  • Security and Fraud Prevention: To authenticate your account, provide a secure payment experience, and protect our services from malicious activity.
  • Communicating with You: To provide customer support, supply digital PDF proofs for order sign-off, and maintain our business relationship.

3. How We Disclose Personal Information

In certain circumstances, we may disclose your personal information to third parties for legitimate purposes:

  • With Shopify and Core Vendors: For IT management, payment processing, and data analytics.
  • With Third-Party Print Suppliers: To physically fulfill orders, final designs are sent to trusted printing facilities. Crucially, these facilities do not receive raw images, isolated lists of names, or the contact data of any minors. They only receive the final, print-ready digital files containing cropped headshots integrated into the locked card design.
  • For Legal Reasons: To comply with any applicable legal obligations, respond to subpoenas, or enforce our Terms of Service.

4. Children's Data & Image Consent

Because our core product involves customized items featuring minors, strict rules apply to how this data is handled.

Website Usage: The Services (this website) are not intended to be used directly by children.

Data Collection via Adults: We process children's personal information (names and images) solely for product creation. By uploading this data, the purchasing adult warrants they have obtained explicit, written consent from the legal guardian of each child.

Promotional Limitations: No images containing a child's face or personally identifiable information will be used on the Pro Squad Prints website, social media, or as physical promotional samples without a separate, explicit written release signed by the legal guardian.

5. Security, Employee Standards, and Data Retention

We take the security of the data entrusted to us incredibly seriously. No security measures are perfect, but we implement strict operational boundaries:

Internal Staff: Any employee or direct contractor of Pro Squad Prints handling data or images of minors is required to hold a valid Working with Children Check (WWCC), verified through the relevant state portal prior to employment. (Note: Because third-party printers only receive locked, print-ready manufacturing files, their staff are not explicitly required by us to hold a WWCC.)

The Annual Data Purge: To ensure the ongoing privacy of minors, Pro Squad Prints enforces a strict data destruction policy that overrides standard retention timelines. On January 31st of each year, all personal information (names and raw images) associated with completed orders from the previous calendar year is permanently deleted from our active servers and databases.

Third-Party Printer Retention: All third-party print suppliers are contractually required to delete print files from their systems within a reasonable timeframe following the completion of a print job, and under no circumstances will they retain these files beyond our own annual January 31st data purge deadline.

Business Records: Basic adult order details (Customer name, invoice amount, club name) are retained only as long as necessary for standard tax, legal, and accounting purposes.

6. Relationship with Shopify

The Services are hosted by Shopify. Information you submit to the Services will be transmitted to and shared with Shopify to provide and improve the Services. Shopify may make use of personal information collected about your interactions with our store (as the adult purchaser) along with other merchants. Note: Pro Squad Prints does not supply the raw images or names of children uploaded for custom products into Shopify's cross-merchant advertising networks.

7. Your Rights and Choices

  • Request Deletion of your personal information (subject to our legal obligations to retain certain transactional data).
